Aufgaben

Responsible for verifying book royalty agreements and timely and accurate recording of these agreements. Responsible for author master data creation, modifications, and executing payments. Respond professionally to author inquiries in regard to royalty statement activity, tax reporting, sales information, etc. Oversee the performance of the first-level team in regard to royalty contract processing and payment creation. Provide timely support to questions and queries raised by the first level team, our authors/editors and internal stakeholders. Guide editorial departments regarding royalty remuneration processes and procedures and ensure document changes are compliant with the rules outlined by our legal department.

  • Process/approve in a timely manner: Royalty agreements, payment requests, or any other documents related to book royalties and series editor payments, and or sub-right agreements if required
  • Review and approve royalty-related contracts, payment requests, and adjustments processed by the offshore team and provide feedback/training in case repetitive errors occur
  • Update royalty contracts, including payee transfers when necessary
  • Analyze and follow up on unassigned royalty sales reports and request/search for missing contracts
  • Coordinate logistics behind the annual and semi-annual royalty run for the assigned entities and reviews royalty statements
  • Resolve questions and queries from the first-level team, Springer publishing organization, rights-related teams, authors/editors and respond in a professional, accurate, and detailed manner
  • If required, create interim payments and run one-off statements for missed royalties or royalty amendments
  • Review payment run and coordinate the distribution of cheques
  • Follow up and resolve returned checks and electronic transfers
  • Support the royalty manager with month-end activities, reporting, audits, testing, and other royalty-related activities
  • Create journal entries when necessary
  • Handle incoming mail
  • If applicable, apply for foreign tax deductions

Profil
  • Work experience preferably in royalties-related and/or Accounts Payable-related departments in a multinational environment. Or experience as a publishing assistant in the publishing industry
  • Appropriate accounting knowledge
  • Appropriate understanding of author agreements or any other legal agreements
  • Customer orientated
  • Positive interpersonal skills
  • Good communication skills in English and German (written and oral)
  • Good attention to details
  • IT literacy
  • Appropriate working knowledge in a royalty department, publishing department, and/or Finance departments such as Accounts Payable. If you have no experience in any of these, a background in Finance and/or law is preferable
